1. Introduction

Welcome to NIB's EzSUBMIT & PAY Mobile App Privacy Policy. At the National Insurance Board, we are committed to protecting the privacy and security of our users' personal information. This Privacy Policy explains how we collect, use, and protect your information when you use our EzSUBMIT & PAY mobile application. 

2. Purpose

The purpose of this privacy policy is to clearly communicate how NIB handles your personal information when you use EzSUBMIT & PAY. We strive to ensure that you understand what information we collect, why we collect it, and how we use it. By outlining our data practices, we aim to build trust and confidence with our users and empower you to make informed decisions about your privacy. 

This Privacy Policy applies to all personal information collected, processed, and stored by NIB through EzSUBMIT & PAY. It covers information collected from employers and their employees to submit National Insurance Contributions, including but not limited to employee names, national insurance numbers, contact details, relevant employment information, and insurable wages. This policy applies to all users of EzSUBMIT & PAY, including employers, employer representatives, and their employees. It does not apply to third-party websites or services accessed through our application, which may have their privacy policies. 

4. Privacy Policy Roles and responsibilities in the ICT Change Management process clearly outline the tasks for which each role is responsible within the change management process. 

• We collect personal and financial information provided by employers, including employee names, national insurance numbers, contact details, relevant employment information, wages, and employee/employer contributions to National Insurance, for the purpose of submitting National Insurance contributions. 

• Additionally, we may collect non-personal information such as device information and usage data to improve our services. 

• Personal and financial information is utilized solely for processing and submitting National Insurance contributions and collecting payments on behalf of employers and their employees. 

• Non-personal information may be used for analytical and statistical purposes to enhance our services and user experience. 

• We do not disclose, sell, or trade personal or financial information to third parties for marketing or other purposes. 

• Personal and financial information may be shared with trusted third-party service providers solely to process National Insurance contributions and related services. 

• We employ industry-standard security measures to protect personal and financial information from unauthorized access, disclosure, alteration, or destruction. 

• While we strive to maintain the security of your data, we cannot guarantee absolute security due to the inherent risks of electronic transmission and storage. 

• Employers have the right to update financial information of their employees and maintain their employee roster. • Requests for accessing and updating data can be made through the provided contact information or contacting The National Insurance Board. 

• Employers have the right to activate and deactivate users on their accounts. 

4.6. Release of Information: 

• Personal and financial information may be released when required to comply with applicable laws and regulations. 

• In the event of a dispute regarding the handling of personal and financial information, users can contact us through the provided contact information for resolution. 

4.8. Effective Date and Changes: 

• This privacy policy is effective as of May 1, 2024. Users will be notified of any changes to the policy, with notice within the application. Continued use of the app is considered acknowledgment. 

By utilizing EzSUBMIT & PAY, employers consent to the collection and use of their personal and financial information, as well as their employees' personal and financial information, as outlined in this privacy policy.
